ISO 17025 Document Control Software — Laboratory QMS
A dedicated QMS in which the software enforces the document-control rules required by ISO/IEC 17025 — revision history of quality manuals, procedures and instructions, obsolete-document identification, approval lines, and internal audits.
Why paper and Excel document control gets flagged in assessments
In ISO/IEC 17025-accredited testing and calibration laboratories, the most frequent nonconformities mostly arise in document control (8.3): revision numbers where the latest and distributed copies diverge, obsolete superseded copies still used in the field, or documents circulated without an approval line. When test volumes are low a person can manage manually, but as document count and staff grow, keeping the rules 100% by hand becomes practically impossible.
NeoLab QMS solves this with "system rules," not "human attention." The controls required by the standard apply automatically at every moment a document is created, revised, or withdrawn.
ISO/IEC 17025 document control requirements and matching features
| Accreditation criteria item | NeoLab QMS coverage |
|---|---|
| 8.3.2 Revision and approval control | Author-review-approve workflow, automatic revision increment, revision history retention |
| 8.3.2(f) Identification of superseded copies | Obsolete-document 'OBSOLETE — DO NOT USE' watermark and red banner (including printouts) |
| 8.4 Control of records | Distribution, recall and viewing history; before/after values kept on amendment (7.5.2) |
| 8.8.2 Internal audit independence | Blocking self-assignment of self-performed work for review |
| 7.11 Information system validation | System validation records (uncertainty, numbering, reports, e-approval and more) |
Key features
1. Document tree and revision history
The hierarchy of quality manual - procedure - instruction - form - record is organized as a tree, and on every revision the revision number, reason, and previous version are preserved automatically. The current version and the distributed copy can never diverge.
2. Obsolete-document watermark
When a document is withdrawn, a diagonal watermark and warning banner appear in the viewer and on printouts, preventing accidental use of a superseded version on site.
3. Approval routes and e-approval
Define draft-review-approval routes per document type, and enforce separation between the author and approver. The e-signature flow is covered in more detail on the Electronic signatures and approvals for test reports page.
4. Audit trail
Changes such as metadata edits or document obsolescence are kept in the audit trail together with before/after values and a snapshot, satisfying the 7.5.2 and 7.11.3 requirements.
Reports and uncertainty in one
Document management is only the start. To trace everything from reception through report issuance, the Accredited test report issuing system and GUM-based Measurement uncertainty calculation software are integrated within the same platform. If you're new to the ISO 17025 clause structure, we recommend starting with the ISO/IEC 17025 primer article.
Frequently asked questions
Do I really need ISO 17025 document control software?
Paper or Excel can work, but managing revision history, distribution recall, obsolete-document identification, and approval lines by hand often leads to nonconformities in assessments. NeoLab QMS enforces these rules in software to prevent omissions.
How are obsolete superseded documents identified?
Per 8.3.2, viewing or printing an obsolete document shows an 'OBSOLETE — do not use' diagonal watermark and a red banner, preventing misuse instead of the current version.
Can I prevent an author from approving their own document?
Yes. Author-review-approve lines are defined per document type and separation of author and approver is enforced. Internal audit also blocks auditing one's own work (8.8.2).
Can I try it free first?
A 14-day free trial is offered with no credit card required. Essential ₩79,000, Professional ₩190,000, Lab Plus ₩390,000 (per month, VAT included), with about 17% off on an annual commitment.
